Participation fees include the following services:

• 4 or 5 Nights accommodation in single or double occupancy with breakfast as per the chosen category.
• Participation in the congress – including the congress material.
• Participation in the Pre-congress provided that the corresponding category is selected.
• 2 Coffee Breaks daily.
• Lunch & Dinner in the hotel during the congress dates – drinks aren’t included.
• 1 Dinner “Greek Night” – Local wine is included.
• 1 Gala Dinner – Local wine is included.
• Daily ground transportation between hotels and congress center ( 1 in the morning & 1 in the evening).
• Transfer from airport to congress hotels on October 15^th and 16^th and from congress hotels to airport on October 20th

For Accompanying Persons, the following services:

• 4  Nights accommodation in a  double occupancy room sharing with a participant.
• Transfer from airport to congress hotels on October 15^th and 16^th and from congress hotels to airport on October 20^th.

Currency

All Congress Fees are calculated in EUR (€). Participants from countries where currency restrictions prevent them from sending registration fees in advance are asked to inform the Congress Organizing Bureau to avoid being charged the late participation fee.

Terms of payment for participation fees

All payments should be made in EUR (€) without charges for the beneficiary.
Please note that late participation fees will apply for any payments received after the stated deadlines. Confirmations of registration and invoices for the relevant charges will only be sent after receipt of the appropriate fees.

Method of payment

• By Credit Card
  MASTERCARD & VISA credit cards are accepted. Online payments will be processed through the secure payment page of the Congress online registration system.
• By Bank Transfer
  Upon receipt of your registration form, you will receive a confirmation letter with bank account details and a deadline for payment of the respective fees. A copy of the bank transfer receipt is to be sent to the Congress Organizing Bureau by e-mail at info@icar2024.org, for confirmation of the relevant bank transfer.

All personal data included in the databases to which access is granted will be protected according to the European Directive for the Protection of Personal Data with appropriate software and hardware measurements.

Confirmation of participation

As soon as the appropriate fees have been received, participants will receive a confirmation letter of the relevant bookings.

Cancellation Policy

Cancellation of participation is to be made in written to the Congress Organizing Bureau. The following cancellation policy will apply:

• For cancellation requests received until September 11, 2024: 70% of the total amount will be refunded.
• For cancellation requests received until September 28, 2024: 50% of the total amount will be refunded.
• For cancellation requests received from September 29, 2024 and onwards: no refund applies

All refunds will be made within two months after the end of the Congress. Bank charges will be deducted. An additional handling fee of 20 EUR per refund will apply.

Badge identification

Registration badges will be used during the Congress. Participants will receive their badges upon check-in on arrivals day. For identification purposes and admission to session halls, participants are requested to wear their badges at all times. Admission to Congress areas will not be allowed without badge identification.

Letter of Invitation

Delegates that require an official Invitation Letter in order to attend the Congress may address the Organizing Bureau, specifying the necessary details. This service is provided only to assist participants who need to obtain a visa or permission to attend the Congress. It should not be considered as an official invitation covering fees or any other expenses.
Please note that registration is a prerequisite for delegates to receive an official letter of invitation from the Organizing Bureau.

Liability and Insurance

The Congress Organising Bureau (ERASMUS SA) and all suppliers, representatives or agents linked to the organization of the Congress shall not be held liable by any person for any injury, damage, theft, loss, medical problem or inconvenience which may be suffered by any person while traveling to or from, or during such person’s presence in Congress in connection with this Congress. Participants and their guests are advised to purchase their own insurance against any such occurrences.
